Privacy Policy

This Privacy Policy describes how Sipnex Telecom LLC ("SIPNEX," "we," "us," or "our") collects, uses, shares, and protects information about customers, prospective customers, and visitors to sipnex.ca. SIPNEX is a US-based, FCC-licensed telecommunications carrier. Because we provide regulated telecommunications services, certain data practices are governed by federal telecom law (including the Communications Act and FCC rules on Customer Proprietary Network Information).

1. Information We Collect

Account information. When you register for an account or purchase services, we collect business and contact information including company name, billing address, primary contact name, email address, and telephone number.

Billing and payment data. Payment card details, ACH information, and tax identification numbers are processed through our payment processors. SIPNEX does not store full card numbers; we retain tokenized references and the last four digits for dispute resolution.

Usage data and CDRs. As a telecommunications carrier, we generate and retain Call Detail Records (CDRs) for every call that transits our network, including originating number, terminating number, timestamp, duration, routing information, and STIR/SHAKEN attestation metadata. CDRs are retained per FCC and regulatory requirements.

Messaging data. For SMS and MMS services, we retain message metadata (sender, recipient, timestamp, carrier, status). Message content is retained only as required for delivery, carrier acknowledgment, regulatory compliance, and dispute investigation.

Website and platform usage. When you visit sipnex.ca or use the customer portal at app.sipnex.ca, we collect standard web telemetry including IP address, browser user agent, pages visited, and referrer. This is used for security, fraud prevention, and aggregated product analytics.

Support communications. Emails, tickets, and phone calls with our support team are recorded and retained for training, quality assurance, and dispute resolution.

2. How We Use Information

We use the information we collect to:

  • Provide, configure, and maintain the Services, including routing voice and messaging traffic.
  • Bill customers, process payments, and manage accounts receivable.
  • Comply with telecommunications regulations including FCC rules, 911 obligations, STIR/SHAKEN, TCPA-related carrier obligations, and law enforcement requests.
  • Detect, investigate, and prevent fraud, abuse, traffic pumping, illegal robocalling, and network attacks.
  • Respond to support requests and operational inquiries.
  • Improve product performance, reliability, and security.
  • Communicate service advisories, maintenance windows, outage notifications, and policy updates.

3. Information Sharing

We do not sell your personal information. We do not share your data with advertisers or data brokers.

We share information only as strictly necessary:

  • With downstream and interconnecting carriers to complete call routing. Originating and terminating numbers, timestamps, and STIR/SHAKEN headers are passed to interconnecting carriers as required for call delivery.
  • With regulators and law enforcement when required by subpoena, court order, FCC inquiry, traceback request under the TRACED Act, or other lawful process.
  • With service providers and payment processors that support our operations (billing, payment processing, cloud hosting, analytics). These providers are contractually bound to use data only for agreed purposes.
  • With successor entities in the event of a merger, acquisition, or sale of assets, subject to customary confidentiality obligations.

4. Customer Proprietary Network Information (CPNI)

As an FCC-regulated telecommunications carrier, SIPNEX treats Customer Proprietary Network Information in accordance with Section 222 of the Communications Act and 47 CFR § 64.2001-2011. CPNI includes the quantity, technical configuration, type, destination, location, and amount of use of the telecommunications services you purchase from us. We use CPNI to provide services, bill you, protect against fraud, and comply with legal obligations. We do not use CPNI for marketing outside the category of service you already purchase without your express consent.

5. Data Security

We maintain administrative, technical, and physical safeguards designed to protect the data we hold. These include encryption of data in transit (TLS 1.2+) and at rest for sensitive fields, role-based access controls, audit logging, multi-factor authentication for administrative access, segmented network architecture, and regular security reviews.

No system is completely secure. If we become aware of a security incident that materially affects your data, we will notify you as required by applicable law.

6. Data Retention

CDRs: retained as required by FCC regulations and our RMD filing obligations, typically no less than 24 months.

Account data: retained for the duration of the customer relationship and for a reasonable period thereafter to support billing, disputes, and legal obligations.

Billing records: retained per applicable tax and telecom regulations, typically seven years.

Support communications: retained for at least two years for quality and compliance purposes.

7. Your Rights

You have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Request deletion of your personal information, subject to our legal and regulatory retention obligations (CDRs and billing records cannot be deleted during the regulatory retention window).
  • Opt out of non-operational marketing communications at any time by emailing contact@sipnex.ca.

To exercise any of these rights, email contact@sipnex.ca from the email address on file for your account. We will respond within 30 days.

8. Cookies and Tracking

We use a small number of first-party cookies and standard server logs for security, analytics, and session management. We do not use third-party advertising cookies or cross-site tracking. Vercel Analytics is used in privacy-friendly mode without personal identifiers.

9. Children

SIPNEX services are sold to businesses and are not directed at individuals under 18. We do not knowingly collect personal information from children.

10. International Users

SIPNEX is a US carrier and processes data in the United States and Canada. If you access our services from outside North America, you consent to the transfer and processing of your information in the United States.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated by email to the address on file or by notice on sipnex.ca. Continued use of the services after an update constitutes acceptance of the revised policy.
